About this notice
Appleberry Mental Health is a brand of FourMinds Solutions Services, Inc. (“FourMinds,” “Appleberry,” “we,” “us,” or “our”).
This Privacy Notice explains how personal information is handled when you visit the Appleberry website or communicate with Appleberry through the contact channels provided on the site.
This notice applies to the public Appleberry website. Future Appleberry products or platforms may have separate or additional privacy notices where appropriate.

What information we may process
Information you choose to send to us
When you email Appleberry, we may receive information such as:
- your name and email address;
- your organization, role or title, and organization size;
- the service or program that interests you;
- information about what you would like Appleberry to help you with; and
- other information you voluntarily include in your message.
You are not required to provide every item above simply to contact Appleberry. The website does not use public inquiry forms and does not maintain a dedicated website lead-submission database.
Please do not include confidential employee information, medical information, mental-health records, or other sensitive personal data in ordinary website inquiries.
If sensitive information is sent inadvertently, Appleberry may delete, restrict, minimize, or otherwise handle it as appropriate under applicable law and internal privacy procedures.
Technical website information
When you visit the website, limited technical information may be processed automatically by the website infrastructure used to deliver and secure the site. Depending on the service configuration, this may include your IP address, browser or device information, the requested page or resource, the request date and time, and technical or security information associated with the connection.
Appleberry does not use this information for advertising or behavioral profiling.

Why we process information
Appleberry may process ordinary personal information for purposes including:
- responding to inquiries and expressions of interest in Appleberry Workplace;
- discussing Appleberry programs, training, support services, partnerships, or potential engagements;
- taking steps requested by a person or organization in connection with a potential business relationship;
- managing related business correspondence;
- operating, protecting, and maintaining the availability and security of the website; and
- complying with applicable legal obligations or establishing, exercising, or defending legal claims where necessary.

Lawful basis
Depending on the circumstances, the processing of ordinary personal information may be based on applicable lawful grounds under the Philippine Data Privacy Act of 2012, including processing necessary to take steps at the request of the data subject prior to entering into a contract or potential engagement.
Appleberry may also rely on its legitimate interests in responding to ordinary business inquiries, managing legitimate business correspondence, and operating and securing its public website, provided that those interests do not override the fundamental rights and freedoms of data subjects.
Consent is not treated as the default lawful basis for ordinary email inquiries, and voluntarily sending an email does not constitute consent to unrelated processing or marketing. Appleberry does not currently use website inquiry information for automated decision-making, profiling, or marketing subscriptions.

Who may process or receive information
Access to personal information is limited to authorized FourMinds or Appleberry personnel who need it for the relevant purpose.
For the current V1 website, service providers involved may include:
- Microsoft 365 / Exchange Online — used to host and process Appleberry business email.
- Cloudflare — intended to provide website hosting, delivery, network, and security infrastructure.
These providers process information in connection with the services they provide to FourMinds or Appleberry and are not used as website lead databases.
Information may also be disclosed where necessary and lawful under applicable law, regulation, lawful government process, or for the establishment, exercise, or defense of legal claims.

International processing
Cloud infrastructure providers may operate systems in multiple locations. Where service providers process information outside the Philippines as part of their service infrastructure, FourMinds relies on appropriate contractual, organizational, and technical safeguards as required under applicable law.
This notice does not state a specific data-residency country because the production Microsoft 365 tenant and Cloudflare configurations have not yet been verified for that purpose.

Retention
Personal information contained in general inquiries and expressions of interest is retained for up to 12 months following the last substantive interaction, unless a longer period is necessary for an established business relationship, the establishment, exercise or defense of legal claims, or another requirement under applicable law.
Information that is no longer necessary for its stated purpose is securely disposed of.
If an inquiry develops into an established client, supplier, partner, or other formal business relationship, relevant records may become part of the appropriate business record and will then be retained according to the retention requirements applicable to that relationship.
The 12-month period is Appleberry’s internal retention policy; it is not presented as a period mandated by Philippine law.
Technical information processed by website infrastructure is retained only as necessary for website delivery, security, troubleshooting, and applicable service requirements. No specific Cloudflare log-retention period is stated because the final production configuration has not been verified.

Security
FourMinds implements reasonable and appropriate organizational, physical, and technical safeguards designed to protect personal information against accidental or unlawful destruction, alteration, unauthorized disclosure, unauthorized access, or other unlawful processing.
Access to inquiry correspondence is limited according to legitimate business need.

Your privacy rights
Subject to applicable law, data subjects have rights under the Philippine Data Privacy Act and National Privacy Commission issuances, including rights relating to:
- being informed;
- objecting to processing where applicable;
- access;
- correction or rectification;
- erasure or blocking where applicable;
- data portability where applicable;
- damages; and
- filing a complaint with the National Privacy Commission.
These rights are subject to the conditions and limitations provided by applicable law. A request may not always result in deletion where information may lawfully need to be retained.
